Zalion agents do the work that lands in procurement but that nobody joined procurement to do. Zalion does not replace your existing systems such as SAP, Ariba, Coupa or Ivalua. Our AI agents work as an additional layer on top of your existing procurement landscape and automate the manual follow-up between systems – order confirmations, quote review and negotiation, RFQ processes or demand capture (guided buying).

For the start, that means no system change, no migration, and your existing IT landscape stays untouched. Over the medium term, however, a second effect emerges. As a growing share of the actual work moves onto the agent layer, individual point solutions lose their justification – and consolidating your system landscape becomes possible. It is not a requirement. You decide whether you want to pull that lever.

Your data is hosted and processed in the EU (AWS, Frankfurt region). Zalion is certified to ISO/IEC 27001.

For a few specialized functions – such as authentication or technical monitoring – we work with providers based outside the EU. These are fully covered by data processing agreements and appropriate safeguards under Chapter V of the GDPR: via the EU-U.S. Data Privacy Framework or via the EU Standard Contractual Clauses (Module 3), including supplementary technical and organizational measures.

Usually far less time than you would expect. Two connections are typically enough to get started: the systems your buyers already work in – Microsoft Outlook and Microsoft Teams – plus your ERP or SRM system.

For the largest platforms we have official integrations. Where they are available, we use fast standard connectors; deeper integrations run via dedicated connectors or APIs. A typical pilot is in production within a few days.

The pricing follows a simple logic: you pay per agent module deployed (Intake, Sourcing, Negotiation) and by the volume of transactions actually processed – not by your number of users. So your buyers can use Zalion without a per-seat license premium.

That way you only pay for what actually runs automatically. The model scales with how much you use it, not with the size of your company. We work out the specifics together, based on your volume and your use cases.

The value shows up on two levels:

Efficiency: our agents take on the tasks that otherwise get left undone in procurement, or done reluctantly – repetitive follow-up on order confirmations, quotes and enquiries. That simply gives your team back the time it is missing for strategic work.

Effectiveness: at the same time the results themselves improve – better prices, better terms and more negotiations closed successfully, because our agents negotiate, compare and follow up consistently, where human capacity would otherwise run out.

Together, both effects make the business case: less manual work and better procurement outcomes at the same time.

That depends on where you stand.

If the problem is already clearly defined and the use case named, rolling out that first use case directly can be the right move – without the detour of a pilot.

If you are still in an exploratory phase, we start with fast, focused pilots: low risk, quick to measure, usually live within days. From those results we move into the rollout, with terms we already set out in the pilot agreement, so you have planning certainty from the outset.

We are happy to work out which path is the right one together with you.

Those systems are exactly the foundation Zalion builds on. They do an excellent job at transactions, catalogs and approvals – they are the transactional backbone of your procurement.

The actual work, however, happens in and around these systems: interpreting quotes, answering emails, reconciling order confirmations, clarifying free-text requests, carrying information from one system into the next. These tasks follow no system boundary – they run across ERP, SRM, mail and chat, the way your buyers actually work.

Our agents are built natively for precisely that: completing complex human tasks across different systems. Providers of individual systems naturally either have no interest in this or lack the technology – their focus ends at their own system boundary. That is exactly where Zalion comes in.

We have developed our own technology that systematically verifies our agents' output and eliminates hallucinations, or reduces them significantly. Every statement an agent makes can be traced back to its source – you can see at any time where a piece of information came from. That makes our agents' results not only more reliable but genuinely verifiable, rather than a black box.

We are at home in complexity: in direct procurement we are relevant for any manufacturing company with a dedicated procurement function, and in indirect procurement for virtually any organization from EUR 100 million in procurement spend upwards – regardless of industry or ERP landscape.
